Arrival/Dismissal Procedures
Attendance and Tardiness:
In order to ensure academic success, students are expected to attend school on time daily, from 8:25-3:00 P.M. Any student arriving after 8:30 A.M. will be marked tardy. Parents must park and walk students in after 8:45 to sign the students in as tardy. Parents are required to send a note when a student is absent. Please allow teachers ample time to prepare make-up work when students are absent. For safety reasons, students will only be released to parents, authorized guardians, and those listed on the student information card via the main office. A valid ID must be presented. Patrols are selected based on a rubric which includes academic grades, student conduct, attendance, and tardiness.
Early Checkout:
Students shall not be released after 2:15 p.m. on a regular school day and 12:15 p.m. on a half day. The close of the school day is an important time for students, and interruptions caused by calling into classrooms make it difficult for teachers to finalize instruction and adequately prepare students for dismissal. Please schedule doctor appointments to avoid conflicts with the school’s checkout policy. If students are checked out during lunch, recess, or resource, they may not have access to their belongings in the classroom.
Morning Arrival Procedures:
To ensure student safety, ONLY drop off car riders in the car loop located in front of the school. Students are not to arrive on campus before 7:50 A.M. unless they are enrolled in the Extended Day Program. Extended Day opens at 7:00 a.m. If student is left in the front area/car rider doors/parking lot before 7:50am parent will be contacted to return to wait with the child. Safety is a priority, unsafe drop off will be documented and addressed with the appropriate agencies. Breakfast is available each morning from 8:30-8:45 A.M. Morning Car rider line. Please allow your student to exit the car once you pass the second pedestrian crosswalk (located in front of the office doors). If the line is moving up, please do not hold traffic up and move up with the line. You should not wait on an adult or patrol to open your car doors. Please make sure students exit the car on the passenger side and not into traffic.
As students arrive, they should immediately report to their hallway. Students will sit outside of their classroom and read a book using a Voice Level 0. Adults are on post in the hallway to supervise students until the bell rings. The student code of conduct is in effect when students are on our campus.
Afternoon Dismissal Procedures:
Parents of car riders are to remain in their vehicle until their child is placed in the car. All car riders are required to have an official Chaffee Trail Pikmykid tag or the Pikmykid app. Either of the 2 items must be presented to the car rider attendant. Students are matched with their car as the cars approach the building. If the driver does not have the car tag or the app to present, they will be required to park in the parking lot and present their ID in the main office after 3:15. Additional car tags are available per request via the school provided blue student Take Home Folder. This is helpful for families with multiple vehicles. Only parents/guardians will be allowed to request the car tags. Dismissal tags will be issued with signature of receipt at orientation. Car tag use begins DAY 1 of school. If you do not have a car tag you will need to park and present ID at the front desk. You may pick up a car tag the first day of school at 8:30am – 9:15am if you did not receive one at orientation.
Standard Dismissal Times:
2:45 - Car Riders
2:45 – Buses
2:45 – Walkers
3:15 – Extended Day (this time will be later for the first week of school -4:00pm)
Bus Procedures
Kindergarten
· Parents must complete a bus application in focus to receive approval to ride the designated bus for their home address. This is for ALL students not just Kindergarten.
· Students will need to have their Kindergarten Dismissal letter to ride the bus. Letters were in the registration packet (yellow sheet) and should have been filled out and returned with the packet. Students will not be allowed to ride the bus without this form in place.
· In the past -During the first day of school the Bus Drivers would distribute red ID’s at school every day. Once students arrive home if they have red lanyard on, place the lanyard in an area of your home or car for easy access before boarding the bus the next the morning. (This has been done by dcps in the past we are not sure if they are doing it again this year or not) In addition to this we tag all students back packs as well. Please do not remove the tag.
· Students will be seated in the front rows of the bus.
· Remind students with siblings to inform the bus driver or bus dismissal teacher (located at buses) if their sibling(s) are not on the bus.
· Check the bus times on the bus route to ensure your student is at the bus stop on time in the morning and that the parent or designated person is at the bus stop in the afternoon. If the designated person is not at the bus stop in the afternoon, the bus driver will return the student to the school. There is a 20-minute window to allow for flexibility in the event of circumstances beyond the drives control (railroad crossing, traffic, etc.) 858-6200
Bus Expectations
· Every student must register for the bus and RECEIVE notification in your parent portal focus account that provides the bus number, time and specific location. That is the notice of bus approval.
· DCPS School Board policy 8.34 and FS 1006.25 require students to wear seatbelts on school buses.
· Students are to sit with their back against the back of the seat and stay in their assigned seat once they board the bus. The only time they are to get up is when the bus driver or school supervisor asks them to move. They can alert the driver of a need by raising their hand.
· Drivers have been instructed to write referrals for students not wearing their seatbelt, if students are out of their seat, standing in their seats, and or creating a safety hazard for themselves and others.
· Students may talk to their seatmates while riding.
· Students will keep their hands, feet and objects to him/herself always.
· State Board Rule requires the district to inform parents, guardians and students at least annually in writing of their transportation responsibilities. This is accomplished via the Student Code of Conduct. An additional resource is the brochure “Are We There Yet?: Staying Safe Between Home and School”. This brochure can be found on the district website under Transportation/Bus Safety.
· Registration Required for Bus Transportation – As a reminder, students who wish to ride our school buses must register online. This is required for all bus riders – including students in self-contained ESE programs. Need help? Check out our How-To Bus Registration Videos in English and Spanish. To review our step-by-step instructions, visit http://www.duvalschools.org/busregistration.
· Bus stop information for students who have registered and are eligible for transportation can be found in Focus. To view bus stop information, follow these steps: log into your Focus account, select your child’s name, select “Child Info,” then select “Transportation” from the list.
· Parents can track their child’s school bus by downloading the Edulog app. This app replaces our bus delay webpage and allows parents to monitor their child’s bus in real time. Only families of registered bus riders with a linked parent account will be able to access this app.
Kindergarten Dismissal Procedures:
A signed KINDERGARTEN DISMISSAL INFORMATION form must be completed for each kindergarten student indicating his or her daily transportation arrangement. This form will be required the first day the child rides the bus. This information includes address and bus stop location. Kindergarten students who ride a bus will wear an ID indicating their address and bus stop during the first two weeks of school. Parents can help ensure safe and convenient transportation by communicating any changes to the teacher in writing via the student agenda/folder and clearly reminding their child. Frequent changes in dismissal transportation make it confusing for the child and the staff. Please be consistent. All changes must be made in PIKMYKID by the parent. No changes can be made after 2:00. Only emergency changes will be accepted over the phone and you must be able to provide your family password you included on the back to school forms-for us to verify validity of the caller. This emergency cases will need admin approval. NO changes to transportation after 2:00pm.
Before/After School Programs
Extended Day Program (Before and After School Program):
Extended Day is available through DCF/Community Education before school from 7:00-8:00 A.M. and after school from 3:00-6:00 P.M. for a reasonable fee. House Keeping Procedures
Illness and Use of Medications:
The office staff will attempt to contact parents/guardians in the event their child becomes injured or ill while at school. Please make sure we have your current phone numbers and the required emergency information available at all times throughout the school year. Parents are required to log in all medications (prescribed and over the counter) with the required health document with doctor and parent signature. This forms can be located on the dcps webpage or picked up from our front desk. All medications must be in the correct prescription bottle labeled with the name of the child for whom the medication is intended. The dosage on the medication bottle label must match the doctors order in the signed documentation. A signed authorization form by the parents and physician is required for each student who needs to receive medication at school. Over the counter medications may not be dispensed by office staff unless approved by a physician. For safety reasons, students may not bring or keep medications in the classroom. Medications will only be dispensed as indicated on the medication label.
Change of Address, Telephone, or Transfer:
Please notify your child’s teacher AND the main office of any changes in important information. Parent must make the changes in focus from the parent account. Remember, parents must be available to authorize treatment in the event of an emergency. If you do not have a phone, please leave a number for someone who can reach you. In addition in order to be seen in the clinic by our school health aid you must have a signed clinic permission form on file each year. These are found in the orientation packet. If for some reason yours is not in your packet, please reach out to the school for one.
Registration requirements:
It is crucial that the guardian has completed the BLUE Card in Focus for each individual student. Any changes to contact and phone numbers must be updated by the parent in focus on the BLUE CARD…This information must be available and up to date in the event of an emergency. Telling your child’s teacher in an email or rooms does not update the office. For address changes you will need to provide two proofs of address to the school (list of approved proofs can be on the DCPS webpage duvalschools.org.
Permission Slips/ Field Trips:
Signed parent permission slips are required for all students planning to participate in school field trips. Parents will be notified in advance of all school-sponsored field trips. Teachers may require parent attendance if student behavior warrants additional support (as evidenced by prior fieldtrip in current grade or on-going discipline issues in school that create safety issues). Permission slips and payment will not be accepted after the stated deadline. Parents who attend must have level II volunteer approval through DCPS Volunteer DuvalSchools/volunteer.org.
Agendas/ Student ID Badges:
Students are given an agenda/class folder the first week of school at no charge. Replacement folders will require a fee.
Each student is also issued an ID Badge, which is used for the bus, lunch and check out library books.
Replacement costs: Badge/Lanyard $5.00, ID card $3.00, Lanyard $2.00. The ID must return to school each day.
OneView, Rooms and Focus Parent Portal:

Focus can be accessed through OneView. They are not one in the same.
Celebrations:
The Duval County School Board recognizes the important role wellness plays in achieving high levels of student achievement and employee success in the workplace.
· Birthday celebrations will include a special moment at recess of recognition by the teacher to highlight the individuality of students on their special day. Due to food allergies, approval by your classroom teacher prior to bringing in a store-bought snack is required. These snacks, once approved by teacher, can be left at the front desk for the teacher to share during their recess time.
· If you would like to celebrate with your child, you can reserve a picnic table for lunch with your child. Please reserve your table in advance with a note in the agenda and a call to the front desk to get your name on the reservation list. Tables fill up quickly so you may want to reserve yours a few days in advance. (Check the weather forecast in advance. This is an outside picnic table with umbrella -we do not have an alternative space) You can only check out your own student for picnic table lunch.
Community/ Parental Involvement
Volunteers:
We love to have volunteers with us on campus and on field trips. To be a volunteer, you must be pre-approved by the district. The required form can be located at https://www.duvalschools.org/page/volenteer-background-process. This system ensures the safety of our campus. There are two levels of volunteers. Level 2 requires a background screener and finger printing which requires a fee. While on campus please dress in appropriate clothing and reframe from using your cell phone for pictures and recording of students. Upon arrival you will check in at the front desk and your valid driver’s license will be scanned. You will then receive a badge for the visit. The cumulative volunteer hours for Chaffee Trail are used for special recognition awards. All volunteers will enter and exit through the main office and use the front office area restrooms if needed. More information on how to apply to be a volunteer can be found at https://www.duvalschools.org/page/volenteer-background-process
PTA:
We invite parents to participate with the Parent Teacher Association (PTA). The PTA strives to involve all members of the community in the improvement of the educational process for the students we serve. While you may not have a lot of time to volunteer, we ask that you take advantage of this opportunity to partner with the school in your child’s success. PTA plays a large role in supporting our students by providing fun learning experiences that motivate students to become lifelong learners. The PTA also facilitates programs that incentivize students success. Please do your part and join PTA today. The success of our school is only possible due to our family participation via PTA and SAC. Do your part to build keep our community one of excellence.
SAC:
Parents are encouraged to join the School Advisory Council (SAC). The SAC committee meets the 2nd Tuesday of each month to discuss school operations, budget, and current events happening at the school. This is another opportunity to have a voice and to partner in your community’s success. SAC does not replace the importance of PTA and PTA does not replace the importance of SAC. They are two key components of our continued success.
School Visitation:
Parents and guardians are encouraged and welcome to visit the school. Please provide current photo identification when coming to visit the school for any reason. Classroom observations require advanced scheduling. Teachers are required to have a 24 hour period to review the request to ensure the hour of the visit would not interrupt assessments and or individualized learning groups. We also request that you contact your child’s teacher at least 48 hours in advance, if you wish to schedule a conference. All visitors must report to the front office for student pick-up. You must be cleared as a volunteer for any classroom visitation, and have a level 2 approval for chaperoning field trips. https://www.duvalschools.org/page/volenteer-background-process

This plan may vary slightly across grade levels. Teachers will discuss their grade level plan in detail during Open House.
Class Meetings
We have classroom meetings weekly to discuss our expectations for behaviors as we work as team/community to support excellence daily. We discuss the definition of bullying and ways to speak up when someone treats them inappropriately. Below we have included a few pieces of information we share with them.
What is Bullying?
The Duval County Public School policy 10.2 defines bullying as systematically and chronically inflicting physical hurt or psychological distress on one or more students. It is further defined as unwanted, purposeful and repeated written, verbal, nonverbal, electronic or physical behavior, by a student or adult, that is severe or pervasive enough to create an intimidating, hostile or offensive educational environment; cause discomfort or humiliation; or unreasonably interfere with the individual’s school performance or participation; and is characterized by an imbalance of power.
There are often misconceptions regarding the definition of bullying. Some behaviors and/or actions that do not meet the definition of bullying are often times referred to as bullying.
Characteristics that Define Bullying
The behavior must be repeated. Bullying does not just happen once.
The bullying is intentional and intended to harm.
The bullying is directed to someone with less power.
Report bullying to teacher/school administration for support and next steps
Transportation Privileges
Bus/district rideshare riding is a privilege, which may be revoked. Misconduct by any student while riding a school bus/district rideshare represents a serious threat to the safety of all occupants on the bus as well as other motorists, pedestrians, and members of the community. Parents/guardians are urged to discuss with their children appropriate school bus/district rideshare conduct to ensure bus safety. All students who misbehave while riding the school bus/district rideshare will be disciplined according to the Code of Student Conduct.
A bus/district rideshare suspension is separate from a school suspension and applies only to the loss of bus/district rideshare riding privileges unless subject to other disciplinary actions, such as out-of-school suspension. Students are required to attend school. Bus/district rideshare suspension does not affect or excuse school attendance.

2025 State Cell Phone Policy – The Code of Student Conduct has also been updated to reflect HB 1105, which prohibits PreK-8th grade students from using cell phones during the day for any reason. This builds on the district’s existing wireless device policy, which prohibits the use of wireless devices for all students during the school day. The key change is that PreK-8 teachers can no longer permit the use of devices during the day for any reason. Note that possession is not prohibited, only usage. The code of conduct has additionally been updated to include smart watches and devices with smart technology. Phones must be off and put away!
Fighting Will Result in the Loss of Extracurricular Activities – According to our updated Code of Student Conduct, students who violate one of the district’s six fighting codes will now lose extracurricular activity privileges. The first fight will result in a 30-day loss of extracurricular activities and mandatory Student Options for Success (SOS) to regain privileges. A second fight will result in a 90-day loss of all privileges. A third fight will result in a recommendation to an alternative school setting.
Family Password – To help keep every student safe, each family will create a Family Password during registration. This password will be used only in special circumstances when a parent or legal guardian is unable to come to the school in person and cannot present a photo ID. Family password does not negate the rule that all individuals coming on campus must provide a valid ID for entry.
For example, if an emergency prevents you from picking up your child and you need to send a trusted family member or another adult who is not already listed on your student's authorized pickup list, you must call the school and provide your Family Password. Once your identity has been verified using the password, school staff can discuss the appropriate next steps and, when permitted by district policy, make the necessary authorization for that day's pickup.
Please choose a password that is easy for you to remember but difficult for others to guess. Keep it confidential and share it only with the adults who may need to use it in an emergency.
Symptoms Requiring Removal of Student from School:
• Fever: Fever is defined as having a temperature of 100.4°F or higher. A student needs to be fever free without the aid of any fever reducing medication (Tylenol, Advil, Motrin, etc.), for a minimum of 24 hours before returning to school.
• Diarrhea: Diarrhea is described as 2 or more stools within a 4-hour period that are either loose, runny, watery, and/or bloody, or if stool cannot be contained in the diaper/undergarment. A student needs to stay home from school until the diarrhea has stopped, without the aid of anti-diarrheal medication, for a minimum of 24 hours before returning to school. • Actively vomiting. Student may return to school the next day if vomiting has resolved.
• Breathing trouble, hacking, or persistent and continuous coughing. • Frequent scratching of body or scalp, live lice, undiagnosed rash, or skin condition that resemble childhood diseases.
• Student is irritable, in pain, continuously crying, or requires more attention than school staff can provide while ensuring the health, safety, or well-being of the other students.

Parent Reminders of campus rules and protocols for adult interactions
Always arrive on campus with a valid ID
Employees do their best to meet the needs of our many parents who visit from time to time. Please be aware that our first priority are our students. This may mean a parent will have to wait a few minutes while we tend to a child’s needs. Please be patient and understanding.
Please be mindful of your conversations while on campus with our children present. This includes music heard from car riderline.
Bus Lane is for busses and daycares only
Bus driveway is only for custodial and cafeteria employees as well as service vehicles
Park in designated parking spaces -not ones self-created. Do not park in the grass or in the middle of parking lot lanes.
Our campus is tobacco free. No smoking of any kind permitted on campus includes vapes. (The parking lot and driveway are part of our campus where smoking/vaping is also not allowed) Please be mindful that when we open your vehicle doors for car riders that others are exposed to the contents of your vehicle.
In effort to respect everyone’s time please make an appointment with your child’s teacher in advance of coming to the school. Teachers are not permitted to stop instruction to meet with parents. This includes school administrators as well.
Multiple late pick-ups will result in an AIT conference with our team and principal reviewing the pick-up procedures. If late pick-ups persist, the school will contact agencies who can assist with making sure students needs are met. These include but are not limited to DCPS School Police, JSO, District Based Social Worker, and the Department of Children and Family services.
School bus safety will be always enforced. If a student cannot follow the rules (stay in assigned seat, voice level 1, remain in
seat while bus is in motion, keep hands to themselves, etc) they will be removed from the bus per the student code of conduct. This would result in the parents arranging other modes for pickup and drop off. All students must be picked up no later than 3:15.
We conduct code Lock Down/Lock Out drills/Weather Drills/Fire drills monthly. Please discuss the importance of following the rules and listening to the responsible adult.
Please dress respectfully when on campus. Shoes and Shirt are always required.
No pets allowed in the building (even if you hold them). Due to growing number of allergies this is a safety issue.
Please help us maintain a clean environment by making sure trash does not accidentally fall on the ground while students are getting in and out of the car rider line. Often students will reach under the vehicle to pick up the trash and this is not safe.
Please use the ROOMS APP to request an in person conferences with your teacher first before requesting a conference with admin.
Check your ROOMS APP frequently for safety notices and or updates for the week. Mrs. Doyle sends out weekly reminders each Sunday afternoon for the upcoming week.
Please make sure to monitor calls from our clinic during the day. If your child is sick, we will need to reach you and must have a correct/working number. Students who have a fever may not stay in the classroom and must be picked up within a reasonable time from the time of contact from the school health aid.
